Administrative Coordinator (Part-Time)

16.5 hours/week • Starting at $22/hr • Occasional evening/weekend hours

WomanCare Pregnancy Centre is a Christian charity serving Maple Ridge and surrounding communities by offering hope, help, and healing to those impacted by unexpected pregnancy.

We are seeking a compassionate and organized Administrative Coordinator to support the daily operations of the centre and serve as the first point of contact for clients, donors, and community partners.

This part-time role combines reception, administrative support, and client support to help ensure the centre runs smoothly and that everyone who connects with WomanCare experiences a welcoming and professional environment.

About the Role

The Administrative Coordinator provides essential administrative and reception support to staff and volunteers while helping maintain an organized and hospitable centre environment.

This role includes managing phone calls and appointment requests, assisting with donation processing and data entry, supporting fundraising and office tasks, and ensuring client resources are prepared and available. The position will also complete Pregnancy Care Canada client care training to assist with client support when needed.

Key Responsibilities

Reception & Office Support

  • Serve as the first point of contact for clients, donors, and visitors
  • Answer phone calls, manage messages, and coordinate appointment bookings
  • Maintain reception and office organization and cleanliness
  • Manage incoming mail and general office communication

Administrative Support

  • Assist staff with administrative tasks such as:
    • Donation processing and data entry
    • Credit card reconciliation support
    • Printing, photocopying, and mail-outs
    • Supply and resource management
    • Fundraising and donor support tasks

Client Services Support

  • Ensure client materials and resources are stocked and available
  • Help coordinate appointments and client needs
  • Provide client support when staff or volunteers are unavailable

Team Support

  • Participate in staff meetings and team activities
  • Help maintain a welcoming and supportive centre environment

Qualifications

  • Minimum one year of administrative or office experience
  • Strong organizational and communication skills
  • Proficient with Microsoft Office (Word, Excel, Outlook)
  • Ability to handle confidential information with discretion
  • Friendly and professional in interactions with clients and the public
  • Ability to work independently and support a collaborative team environment
